View Full Version : Does K-Billing have what we need?

Hi

I have been looking around for an invoicing program- have tried and rejected quite a few as unsuitable. After playing with kbilling for a few days it seems to be the best feature-wise. However I wonder if it will meet our company needs in a few areas. Would appreciate anybody's comments.

Our typical procedure after receiving orders is to issue a pro-forma invoice with all the details. This pro-forma might need to be revised multiple times- 7 or 8 times on occasion- before reaching a final state where goods are shipped out and an invoice is generated based on the latest revision of the proforma. Proforma revisions are usually caused by customers placing new orders, which will be added to an existing proforma, or deleting items off orders. It is quite normal for a customer to have 2 or more proformas open at 1 time (for example, one for shipment this month, one for next month, etc.) and for goods to be shifted around between the two depending on availability, etc. So, we have a need for a flexible system of update-able proforma invoices, which ultimately turn into a "final invoice" on shipping date.

Another issue is, we have a tiered pricing system for our product based on quantity: for example, $12 /pc for 1-300pcs, $11.50 /pc for 300+ pcs, $10.50 /pc for 1000+pcs etc. When a customer places an order, the price entered on proforma will vary according to qty ordered. And, when giving quotes, the price breaks (at least 3) need to be shown. Is the product list customisable to accomodate this?

There may be a few more minor issues but these are the 2 big ones. The only system that currently works for us is lots and lots of excel files which is becoming impossible. If kbilling can meet our needs in these areas it looks like a good solution for us. Thanks for any suggestions.

Hi Bart! I'm somewhat of an authority on kBilling so I'll try to help!

While kBilling doesn't have Pro-Forma invoices per se, invoice can be edited up until they are paid, giving you much the same benefit(s).

Tier pricing is not supported but you can enter items on invoices and and change the price for that invoice only (as opposed to saving an item in the database and referencing that item every time).

Have you taken a look? kBilling is free to use for 30 days and trying the demo doesn't obligate you to purchase in any way.
